Budget Analyst

Bryn Mawr College has an opening for a Budget Analyst.

Reporting to the Associate Provost for Administration, the Budget Analyst supports the financial and administrative operations of the Academic Division of the College.  Working closely with the College’s Financial Budget Manager, the incumbent conducts regular reviews of operating budgets and labor/payroll expenses for spending trends, variances, and accuracy in costing. Working in support of department chairs, deans, and other faculty and staff leaders, the Budget Analyst will contribute to and assist the Division achieve efficiency and effectiveness of the overall budgeting processes. They will support the Associate Provost in administration of the Division.  This is an on-site job.

The primary duties may include, but are not limited to the following:

Budget Planning, Analysis, Management, and Reporting:

  • Conduct regular periodic reviews of operating budgets in the Academic Division of the College for appropriateness of expenses, spending trends, etc.  Recommend to the Associate Provost potential budget reallocations and expense adjustments. Process Journal Entries, as requested by Associate Provost.  Conduct monthly reviews of labor and payroll expenses to ensure accuracy in costing allocation. Work with College’s Finance Budget Manager to investigate and understand the drivers of quarterly budget versus actuals.  
  • Collaborate with the Budget Office on position management (e.g. position budget and costing, and attributes in Workday, etc.) for all budgeted positions in the Academic Division.
  • Work with the Dean and administrative staff in the Graduate School of Social Work and Social Research and the College’s Finance Budget Manager on budget modeling for net tuition, scholarship expense modeling, and expense budgets.  
  • Work with the Dean of the Graduate School of Arts and Sciences on financial models for assistantship and fellowship modeling and projections and expense budgets/projections
  • Conduct financial modeling of academic initiatives.
  • Work with the College’s Finance Budget Manager to communicate the results of the annual roll-over process; produce and distribute memoranda to Academic Department Chairs/Program Managers about reserve balances.
  • Assist with the annual Bi-College Reconciliation of expenses in the Academic Division  

Administration

  • Review/Approve Monthly Credit Card statements/transactions for cardholders in Academic Division.
  • Review and sign bi-weekly timesheets and serve as back up for PTO approval in ERP. 
  • Serve as primary/secondary approver of expenses in Academic Affairs requiring Associate Provost’s signature.
  • Manage procurement of large and recurring expense items for the Provost’s Office, specific to membership renewals, software renewals/contracts, legal expenses, etc.   
  • Process payments to Faculty, e.g. one-time payments, period activity payments, and summer salary for approval of Associate Provost, as appropriate.
  • Assist with production of annual salary letters for continuing faculty and appointment/ reappointment letters for interim/adjunct faculty.  
  • Assist Director of Sponsored Research on close-out of internal research and service fund.
  • Assist academic departments in understanding and accessing financial reports and information.

Other

  • Participate in strategic projects e.g. implementation of faculty workload in student information system.
  • Contribute to/assist in efficiency and effectiveness of the overall College budgeting processes while ensuring compliance with institutional policies and financial controls.
  • Provide ad hoc analyses as needed.

Qualifications

Education:

  • A Bachelor’s degree in Accounting, Finance or Economics from an accredited college or university.

Experience:

  • One to three years’ budgeting, accounting and data analysis experience or an equivalent combination of education and experience.
  • Experience in higher education preferred.
  • Proficiency in Microsoft Office and Workday preferred.  Experience with other higher education ERPs is welcomed.

Physical Requirements:

  • Primarily a desk-based job, requiring prolonged periods of sitting or standing while performing tasks such as typing and filing.
  • Repetitive Motion: Frequent use of a keyboard, mouse, and phone, which may involve repetitive hand and wrist movements.
  • Visual and Mental Acuity: Requires the ability to focus on proposal solicitations and spreadsheets, and documents for extended periods and manage multiple tasks simultaneously.
  • Occasional Lifting: Ability to lift and carry office materials, files, and supplies up to 20-25 pounds (e.g., boxes, office equipment).
  • Travel: Occasional travel to meetings in various on-campus locations and on different floor of buildings, interacting with staff or faculty, and attending departmental events or presentations.
